The problem

Twelve suppliers. Forty WhatsApp groups. Six quotation formats. One deadline that does not move.

Nothing about event procurement is hard on its own. It becomes hard because twelve separate conversations have to land on the same night, and no two of them are written down the same way.

Procuring an event the usual way

  • 12 suppliers to chase Each with its own scope, its own assumptions and its own version of what was agreed on a call.
  • 40 WhatsApp groups The only record of a decision worth SAR 900,000 (Client price) is a voice note nobody can find on the day it matters.
  • 6 quotation formats Six PDFs that cannot be compared, because no two of them price the same scope.
  • 1 immovable date Doors open on the date printed on the invitation. That is the one variable nobody can negotiate.

Procuring it through Core

  • 1 brief One structured requirement spec, written once, sent to every partner in exactly the same words.
  • 1 partner A named account manager accountable for the whole scope, not for one slice of it.
  • 1 dashboard Every package, proposal, approval, permit and change, in one place, with a timestamp and an author.
  • 1 contract You sign with the partner that won the package, on the scope Core wrote. Not twelve negotiations, each with its own version of what was agreed.

Core writes the scope, runs the sourcing and stays on the project through handover. You always know which company is accountable for which work package, and what it agreed to deliver.

How it works

Four steps from brief to doors open.

The same four steps run on a single stage build and on a four hundred metre activation zone. Only the number of work packages changes.

  1. 1 Brief

You tell us what the event has to do

Date, venue, guest count, what has to happen in the room. No line items, no equipment lists, no need to know what a truss costs. We turn intent into a requirement spec.

    About 15 minutes

  2. 2 We source

We split it into work packages and go to the network

One scope, one category, one deadline per package. Three to five audited partners are invited per package, each priced against the same spec in the same units.

    3 to 5 working days

  3. 3 You compare

One comparison, priced line by line

Not a folder of PDFs. A grid where every proposal answers the same requirement, with the gaps, the exclusions and the assumptions called out before you choose.

    Your decision window

  4. 4 We execute

We run the site, you watch the dashboard

Milestones, permits, site visits, snags and changes, all recorded as they happen. On event day your account manager is on site, not on email.

    Through to handover

Capability

Twenty-one categories, one accountable partner.

Every category below is covered by partners Core has audited, priced and delivered with. Add any of them to a brief and we will source it as one work package.

The network

Numbers, not adjectives.

Core does not own trucks, trusses or kitchens. It owns the record of who delivers, at what price, at what quality, on what timeline, in this market.

Selected work

Three projects, three numbers that matter.

Every case study carries what it actually took: the guest count, the partners coordinated and the days on site.

The project dashboard

One screen that answers the only three questions a sponsor ever asks: where are we, what is at risk, and what needs me.

What you are looking at

  1. 1Annotation 1 Phase, health and the countdown together Health is set by a human and carries a written reason. It never changes quietly.
  2. 2Annotation 2 Every work package with its own status One scope, one category, one partner, one price. The project total is the sum of them, never an estimate.
  3. 3Annotation 3 The next milestone, not a Gantt chart Load-in, rig, technical rehearsal, doors. Overdue and blocked milestones surface here before anyone has to ask.
  4. 4Annotation 4 One accountable human, with a face Messaging goes through the platform, so the decision trail survives holidays and handovers.

The proposal comparison

Four proposals against one requirement spec, line by line, in one currency and one set of units.

What you are looking at

  1. 1Annotation 1 Same spec down the side, options across the top Every partner priced the same lines, so the totals are genuinely comparable.
  2. 2Annotation 2 Honest empty cells A line a partner will not deliver shows as not quoted, never as a zero. That is where cheap proposals hide.
  3. 3Annotation 3 Core's recommendation, in writing Not always the cheapest. The reason is recorded next to the choice and stays on the record.
  4. 4Annotation 4 Exclusions diffed across options If only one partner excludes the power distribution, that difference is on screen before you award.

Illustrative view, built on a sample project. Partner names are masked here exactly as they are masked until award.

For execution companies

Execute for the biggest events in the Kingdom.

Qualified projects with real budgets and written scopes, from clients you cannot reach on your own. No lead fees, no sales team, no cold calling.

  • Real briefs with a requirement spec, not a phone call and a sketch
  • One point of contact and decisions that stay documented
  • Payment tracked against an agreed schedule, per milestone
  • A performance record that earns you the next project

Straight answers

The six questions procurement always asks.

Answered the way we would answer them in the room, because you will ask anyway.

First response within one business day, from a named person.

The execution company that wins the package. Core writes the requirement spec, invites the partners, normalizes what they send back and runs the comparison, but the contract and the invoice sit between you and the partner you award. That is deliberate. It keeps your legal and finance relationship with the company that is actually doing the work, and it keeps Core free to hold that company to the scope rather than defend its own paperwork.

A structured brief reaches the network within one business day. A single-category package comes back in about three working days. A full multi-package event, meaning stage, AVL, catering, manpower and permits, takes five to eight working days, because we invite three to five partners per package and normalize what they send before it reaches you. If your date is tighter than that, say so on the brief. We will tell you honestly what can and cannot be sourced properly in the time available, rather than promising the date and discovering the problem in week three.

Core put that partner in front of you, so the recovery is ours to run. Every package carries a named substitute from the same category and a capacity check before award. If a partner misses a milestone, project health changes on your dashboard the same day with a written reason, and the substitute comes in on the scope Core already wrote, so the replacement is priced against the same spec rather than renegotiated from scratch under deadline. Partners who fail twice leave the network, which is the only reason the first promise means anything.

Yes. Civil Defence, municipality, traffic, the General Entertainment Authority and Ministry of Culture approvals where the venue requires them, plus crowd management and evacuation plans stamped by a licensed consultant. Permits appear on your dashboard with the authority, the responsible person and the expiry date, so a rejection is visible the day it lands rather than the week it matters. We cannot promise an authority's decision. We can promise it is filed correctly, chased daily and escalated with time still on the clock.

From a single work package around SAR 80,000 (Client price) to full events above SAR 5,000,000 (Client price) . Below that band you are usually better off buying direct, and we will tell you so rather than take the work. The value starts where the scope crosses more than two categories, or where nobody on your team is free to chase twelve suppliers for six weeks while doing their actual job.

Riyadh is where we are strongest and where most of the network holds its own crew and equipment. We deliver in Jeddah, Diriyah, AlUla, Dammam and NEOM regularly, with a Riyadh core team travelling and local partners for plant, manpower and logistics. For any other city, put it on the brief and we will be straight with you about whether we can source it properly or whether you are better served by someone local.

Start here

Tell us what the event has to do. We come back with a plan, and proposals you can actually compare.

No account needed to start. Build the brief at your own pace, save it, and submit it when it is ready. An account is created at submission, not before.
